PART-TIME RECEPTIONIST/OFFICE ASSISTANT

Reports to: GM, Lesvia Diaz, Josi Bryant

This part-time position is for Monday through Friday, 9 a.m. to 1 p.m.

Front Desk & Switchboard Duties:

    • Arrive at the Front Desk on time daily
    • Check messages on the phone and distribute accordingly
    • Respond and/or forward emails for both yours and info. For the info email go to sent folder print out response and file
    • Unlock file cabinets
    • Make sure copier is stocked with paper and have extra paper in drawer to restock if needed.
    • Lock Up before leaving each afternoon (filing cabinets)
  • Answer the phones/Greet visitors & guests
  • Receive all incoming packages
    • US Postal Mail,
    • Federal Express Packages
    • UPS Packages
    • Office Supplies
    • Special Deliveries Addressed to Specific Employees (Email or call them as soon as the package is received.)

Administrative Assistance Duties:

General Duties:

    • Timecards
  • Print and distribute timecards.
  • Photocopy all timecards for our office records and send original timecards to Corporate once Josi has reviewed and signed the timecards.
  • Assist Office Manager with checks to be deposited, any VT reporting needed, mailing out month end invoices and statements.
  • Every Friday, prepare FedEx package to corporate for 2nd day shipping, which will be done online from FedEx website. Keep a copy on file in case we ever need to track a lost package.

Administrative Assistance Duties (Continued):

  • Assist General Managers with correspondence – i.e., Scanning non-SIGNix Contracts and vacation requests for their review and signatures.
  • Print logs and post where appropriate.
  • Maintain current client contract books by station and salesperson.
  • As per company retention guidelines, maintain hard copy files of past contracts; shredding documents once allotted time has passed.

EEO Duties:

  • Assist with setting up Career Fairs for EEO purposes.
  • Check email for resumes submitted for current job openings & distribute to the appropriate Manager for review.
  • Have job application prepared for interviews for potential candidates and let interviewer know their appointment has arrived.
  • Assist with Scheduling Interview Appointments for the Manager’s

General Supplies:

  • Keep an Inventory on Supplies
  • Prepare Quotes on Supply Orders
  • Prepare POR template for Supply Order POR
  • Place & Receive Supply Orders
  • Distribute Supplies

Kitchen Duties

  • Refill kitchen supplies (Ex: k-cups, creamer, stir sticks, etc)
  • Wipe down counters, Keurig brewer, sweep floor
  • Keep inventory & order kitchen supplies

Schedule Yearly Maintenance Appointments

  • Ex: Carpet Cleaning, Pest Control

RADIO COMMERCIAL PRODUCER

Open position: Radio Commercial Producer for premier Christian Radio station WDJC – 93.7FM, in Birmingham, Alabama – A member of the Crawford Media Radio Group

Job description:  Write, produce, voice commercials for direct retail clients.  Write and produce promotional announcements, liners, imaging for station(s).  Work in concert with Account Executive to develop results producing ad campaign for our clients.  Position requires direct contact with clients and prospective clients.  The person hired will become familiar with our proprietary process for securing and developing long-term advertising campaigns, and be required to know, understand and properly execute it in his/her role as a Radio Commercial Producer.

Applicant requirements:  The ideal candidate will have demonstrable commercial writing skills, audio and studio production skills, talent for voice work, and interpersonal skills.  This position requires a certain level of “sales” skill, in the sense that our Radio Commercial Producers work directly with our clients, and don’t depend entirely on an intermediary such as a sales rep.  College degrees and/or vocational training helpful, but not required.

Candidates must be willing to re-locate to Birmingham, Alabama.  Candidates will not be considered without a demo reel of production work, including voice work along with a resume.
